We keep track of all our Backorders via our website. So, if you do want to place a Backorder, it does need to be through the website (no emails please).
How it works for both Backorders (out of stock on current items) and Pre-Orders (new merchandise that has not arrived yet). When you place an order for an out of stock item on the website, you will see it go into the Backorder cart at that time (if you decide you don't want to wait for a Backorder, you can always cancel that Backorder yourself by removing the Backorder before checking out)
Once You Backorder an Item
When an item goes into Backorder status, we keep track of it and make sure we have orders placed with the vendors to cover these Backorders (that doesn't guarantee the vendor will make another production run and ship it to us, but we will certainly let you know if they tell us it is no longer being produced). We rarely get updates from our vendors. At best, we may get word a few days before they ship the merchandise to us, letting us know it is on its way. However it goes, as soon as we know it's coming, or when it arrives, you will get an email from us letting you know it is available for us to ship to you.
Keeping Track of Your Backorders
The best way to place orders is through your account, because this helps you keep track of orders you have placed with us. This is especially important with Backorders. If you placed your Backorder while logged into your account, your Backorder will first show up in your account as pending (just like regular orders do until we ship them). Your Backorder will continue to show as pending until all the individual items in it are shipped.
New Procedure as of May 2011
If you have placed a Backorder or Pre-Order while logged into your account, you will see the item(s) you have ordered that we have not shipped yet. When we get an item in that you have on backorder (or pre-order), we actually take that item out of your old backorder/ pre-order order, and move it to a new Shippable Backorder order with a new order number. We will email you the contents of this new Shippable Backorder, with reference to the original order numbers that you first created. (This updated process is for all backorders/pre-orders filled May 2011 forward).
Your account will no longer be updated as the status changes for each item. with pending for all items to start with, Notified for when we have emailed you of it's arrival, Shipped, when we have shipped it or, Void if you either canceled the item, or replaced it with a new order, or the vendor told us they will not be making any more of your item.
We often get multiple Backorders on the same item from our customers; sometimes you decide you would like to have more than one item; no problem there!... But sometimes it is because you didn't know you had already placed an item in a Backorder...Confusing all the way around...So, logging into your account before you checkout, and then checking your account for current Backorders, should eliminate the 2nd problem.
Shipping Partially Filled Backorders or Pre-Orders We hope you understand, but we just can't hold this item(s) waiting for more to show up, since we have no idea when the rest of these items may come in. The other problem of course is often Pre-Orders and Backorders are for hot items that we sell out of in a short time. To be fair to customers who would like to have these items, we can't hold them back once they arrive. So, when you place something on Backorder, you need to be able to have any of it shipped to you when it arrives at our store. We will email you as soon as we can and give you an opportunity to add to your order so that you can get free shipping. Same guidelines to qualify for free shipping on Backorders: the shippable order must be over $75 to get free shipping.
Canceling a Backorder
There is no penalty for canceling a Backorder (however, if we get repeat cancellations, we reserve the right not to accept new orders of this type). You will need to send us an email to cancel it for you as our website doesn't allow for customers to edit their own orders once they have been through the checkout process. Just send an email to backorders@hotslots132.com and give us your full name, order number and product number you would like canceled. We will cancel your order for you, or even one of the items in your Backorder, as long as we get notice ahead of time. You will receive a reply email from us letting you know we have canceled your Backorder. We recommend that you check your account history to be sure it shows that your order has been deleted, or that the specific item you requested has been voided. If we have not received a prior request from you to cancel a Backorder, we will ship the merchandise out to you when it arrives.
Back-Orders where we have very Limited Quantity
Our goal as a hobby shop is to give as many customers as possible the chance to enjoy all the slot car merchandise we purchase. It is always possible that we may find out that we are not able to get enough of a backordered product to satisfy the needs of our customers. If this happens, we will need to restrict the amount sold to any one customer, so that all of our customers with backorders can get some of this product. We don't want to upset anyone, but we hope you understand that we want as many customers as possible to be able to get the slot car product they need so they can enjoy this great hobby.
PayPal Orders When your order arrives, we will send you an email letting you know that the merchandise has arrived at our store. We will email you a 'PayPal Money Request' for the amount of your shippable Backorder (including shipping, Illinois sales tax if applicable). Please just follow the directions in our email.
If you wish to add to your shippable Backorder, you can go to our website and place a new order and let us know in the comment section in the checkout area, that your new order replaces your shippable backorder. This way we can delete your shippable backorder for you.
SHIPPING CHARGE POLICY FOR SHIPPABLE BACKORDERS UNDER $75 We have to treat your Backorders like they were any other order, as we actually spend more time and energy tracking, emailing, and then processing your Backorder than we do a regular order. So, if the item (or items) that arrives adds up to less than $75, we will charge you shipping. However, we will always email you in advance and give you an opportunity to add to your order before we ship it to you. Just place a new order via the website, letting us know it replaces your Backorder or it goes with your Backorder.
What if your 2nd order is under $75, but putting it with your Backorder qualifies you for free shipping? You can avoid the shipping charge our website automatically calculates for you in the checkout shipping area. Simply check the button indicating that says"Hold for In-Store Pickup." Then tell us in the comment section, "I used store pick up button, as I qualify for free shipping when this order is combined with my shippable Backorder for xxx." We are glad to combine multiple orders; we just need you to communicate to us what is happening so our different departments can coordinate your orders. You can also use this button if you have placed more than one regular shippable order in a few hours, but again, you need to tell us in the comment section that this order should be packed with your previous order # xxxxx (our goal is to work your orders asap, so as long as we haven't already packed your previous order, we are happy to combine them).
Special Note on Pre-Order Pricing:
We use estimated retail pricing from our vendors on items available for Pre-order, and these prices are subject to change. The final prices may be higher or lower than the what we originally listed on our Pre-Order page. You will be emailed on any price changes as we become aware of them. Sometimes we get advanced information, but generally it is very close to arrival date. If a price increase is more than you want to pay, please email us right away; we understand, and we will be glad to delete your Pre-Order.
