How Our Back-Order System Works
We keep track of all our backorders via our website, folks it is the only way we can keep up! So, if you do want to place a back order, it does need to be via the website, that way our backorder specialist, can keep them organized. We carry over 3000 items right now, and of course we are always adding more so, she really has her hands full following up on all these individual items.
Here is how it works: as you know we do keep accurate counts on our website; when you order, you can expect to receive everything that your shopping cart says we have in stock. When you place an order on the website and we are out of stock, you will see it go into the backorder cart at that time. (If you decide you don't want to wait for a backorder, you can always cancel that BackOrder yourself by removing the BackOrder before checking out.)
Once You Backorder an Item
When an item goes into backorder status, we keep track of it, and make sure we have orders placed with the vendors to cover these backorders. (Sorry to say, that doesn't guarantee the vendor will make another production run and ship it to us; but if they make it; we will get it in!) We rarely get updates from our vendors. At best, we may get word a few days before they ship the merchandise to us; letting us know it is on its way. However it goes, as soon as we know it's coming, or when it arrives, you will get an email from us letting you know it is available for us to ship to you!
Keeping Track of Your Backorders
The best way to place orders is through your account, this helps you keep track of orders you have placed with us. This is especially important with backorders. If you placed your backorder while logged into your account, your backorder will first show up in your account as 'pending'. (Just like regular orders do until we ship them.)
If you have placed a backorder/pre-order while logged into your account, you will not only see the backorder/pre-order you have placed; but your account is updated as the status changes for each item. So, it will show pending for all items to start with. Notified for when Leona or another employee emails you that is is in. Shipped, when we have shipped it. Void if you either cancelled the item, or replaced it with a new order, or the vendor told us they will not be making any more of your item. So, placing your backorder/preorders logged into your account is really the way to go if possible. If you do need to cancel a backorder/pre- order item, you have to email us (as you cannot edit your account, only view it) and then you need to check your account in and be sure we have voided your item. If you don't see a void by that particular product number, please email us again.. it really does get hectic around here!
We often get multiple backorders on the same item from our customers; sometimes you decide you would like to have more than one item; no problem there!... but sometimes it is because you didn't know you had already placed an item in a backorder.. Confusing all the way around!... So, logging into your account before you checkout, and then checking your account for current backorders, should eliminate the 2nd problem.
If you do want to place a second or third order for the same product number, it would really help if you could tell us in the comment section: "This is a 2nd backorder for the xxxx, I want 2 altogether." We do not want to overship you; but of course we want to get you all the backorders you want! This would be a huge help!
We really do have to ship out these backorders as we get them in even if they make up only a partial fill of your backorder.; We hope you understand, but we just can’t hold these item(s) waiting for more to show up; since we have no idea when the rest of these items may come in. We also just plain run out of room here and it is very difficult to keep track of hundreds of pre-orders and backorders, much less keep track of backorders that have arrived but need to be held. The other problem of course is often pre-orders and backorders are for hot items, that we sell out of in a short time. To be fair to customers who would like to have these items, we can't hold them back once they arrive. So, when you place something on backorder, you need to be able to have any of it shipped to you when it arrives at our store. We will email you as soon as we can and give you an opportunity to add to your order so that you can get free shipping. Same guidelines to qualify for free shipping on backorders; the shippable order must be over $75 to get free shipping.
If you change your mind before the backorder arrives, we will be glad to delete it for you; of course no charge to delete a backorder (however if we get multiple requests, we do reserve the right not to accept backorders in the future from you as tracking them takes a lot of time).
You will need to send us an email to delete it for you as our website doesn't allow for customers to edit their own orders once they have been through the checkout process. Just send me an email and let us know; that is all we ask. We will cancel your order for you, (or even one of the items in your backorder) as long as we get notice ahead of time. It gets super hectic around here; so please check your account in a few days to be sure your backorder has been deleted. If it hasn't, drop us another email ok?
PayPal Orders PayPal's system operates a little differently, it doesn't automatically show your order in our backorder system. We will get your backorder when you place your backorder, and then change it in our system to say 'pending' from 'Do Not Ship PayPal' At that time, you should get an email telling you that your order is now Pending. When your order arrives, we will send you an email letting you know that the merchandise has arrived at our store. Since we can't re-bill you as we can with a credit card, we are going to add the total merchandise inventory including your backorder item to our website, making it available to sell. You will simply need to go to our website and reorder your backordered item, and of course if you would like to add additional items at that time; that will be very easy for you to do also.
The only concern will be when there is extremely limited quantities available; we will try to make you aware of this in our emails, so you can place your orders quickly.
If you have the ability to place backorders with a charge card; this will of course simplify the process, as we can email you when the merchandise comes in, then bill you and ship your merchandise to you as needed.
SHIPPING CHARGE POLICY FOR SHIPPABLE BACKORDERS UNDER $75 We have to treat your backorders like they were any other order, as we actually spend more time and energy, tracking, emailing, and then, processing your backorder than we do a new order. So, if the item (or items) that come in add up to less than $75, we will need to charge you shipping. However, we will always email you in advance and give you an opportunity to add to your order before we ship it to you ok? Just give us a call or better yet place a new order via the website, letting us know it replaces your backorder or it goes with your backorder.
What if your 2nd order is under $75, but putting it with your backorder qualifies you for free shipping? You can avoid the shipping charge our website automatically calculates for you in the checkout shipping area. Simply check the button indicating that you are "picking up the order at the store". Then tell us in the comment section, "I used store pick up button, as I qualify for free shipping when this order is combined with my shippable backorder for xxx" We are glad to combine multiple orders, just need you to communicate to us what is happening, so our different depts can coordinate your orders. You can also use this button if you have placed more than one 'regular' shippable order in a few hours, again, you need to tell us in the comment section, that this order should be paced with your previous order # xxxxx. (Our goal is to work your orders asap, as long as we haven't already packed your previous order, we are happy to combine them!)
